Zoom has revolutionized the way we communicate, be it for personal, business, or educational purposes. With its seamless video conferencing capabilities, it’s no wonder its popularity grew exponentially in the recent years. This guide aims to help beginners navigate the platform effectively.
Setting Up a Zoom Account
First things first, to use Zoom, you need to set up an account. Head to the Zoom.us website where you can sign up for free. Provide your work email to get started. Zoom will send a confirmation email to validate your account. Click on the activation link, and you're ready to roll.
How to Schedule a Meeting
Scheduling meetings in Zoom is quite straightforward. Navigate to 'Schedule a Meeting' from your profile. Key in the details such as title, date, and time of the meeting, duration, and whether you require a video for the host/participant. Click on 'Save', and your meeting is scheduled.
Remember to notify your participants about the meeting by sending them the meeting link or the unique Meeting ID through email or messaging apps.
Joining a Zoom Meeting
You can join a Zoom meeting in two ways. Firstly, by clicking on the meeting link shared by the host, which will directly take you to the meeting. The second way is by entering the Meeting ID manually on the Zoom app or website and clicking on 'Join'.
Navigating the Zoom Interface
The Zoom interface is user-friendly. Once you start or join a meeting, you will see the controls at the bottom of the screen. These include Mute/Unmute, Start/Stop Video, Participants, Chat, Share Screen, Record, and End options. Some of these options are self-explanatory, but we will look at a few key ones in detail.
Sharing Your Screen
You may need to share your screen during a presentation or discussion. To do this, simply click on the 'Share Screen' button. You can choose either to share your entire desktop or a specific window. You can also share audio by checking the 'Share Computer Sound' box.
Using the Chat Feature
The Chat feature allows you to communicate via text with participants during a meeting. Click on the 'Chat' button to open the chat box. You can send a message to everyone or to a specific participant.
Recording a Zoom Meeting
Recording the meeting might be useful for future references or for those who couldn’t attend. Click on the 'Record' button to start recording. Once the meeting ends, the recorded file will automatically be saved to your computer.
Leaving a Zoom Meeting
When you have completed the meeting, you can either end the meeting for all participants by clicking 'End', or you can leave the meeting while it continues for others by just clicking 'Leave'.
